The new level of risk manangement

We live in a world where everything is constantly improving and increasing. What we have is never enough, and it never will be. Technology continues to improve at an amazing rate.


In such a world of improvements, many new issues arise that were overlooked before. Problems that never were problems have become commonplace. Electronics need replacing on a constant basis. And old practices become outdated and need to be replaced or improved.


One of these processes that is changing with the march of time is risk management. Risk management is a process that has existed for a long time. It is almost human intuition to perform such tasks as weighing risks and benefits. Recently companies have developed specific processes to control risks. There are as many processes as there are companies.


One specific area of risk management has to do with document retention, that is the way employees deal with documents that they create, edit, and use. Some such documents can contain great risk to the company if not handled properly. To prevent such from happening, each company has a policy for dealing with such documents, such as where they are stored, who has access to them and other such policies. The problem with such policies is the human factor.


Human beings are great, they do excellent work, they are creative and innovative and posses other such qualities. But they also have one very important quality. They are human. That is, they can, and very often do, make mistakes. Sometimes we are careless, we forget, we do things on accident, and every so often, we find a few that do things they shouldn’t on purpose.


Almost every company today has a risk management policy, but many are not carried out as they should be. Especially where document retention is concerned. It is no easy task to document where every document is, what version it is and so forth. It is quite tedious and time consuming. Thus the reason computers have been used to solve this problem, which ironically was created by the use of computers as well.


The risk management software available is amazing. The time that can be saved is well worth the cost. And the effectiveness is so much better than human implemented systems. No document goes unnoticed from the eyes of the software. It tells you where every document is, which version it is, and if you want it deleted, it will tell you if it has been deleted or not. No more forgetfulness. No more confusion over whether you have the right version or not.


Whatever the reason you need risk management, don’t settle for less when more is available.
